III.TERMS, DISTANCE, ROUTE

  • The competition will take place on May 25, 2024, starting at 9:00 AM, with a rolling start
  • The starting point is located on the beach by Lake Jaroszewskie – starting from the shore
  • The finish line is located on the track and field stadium TKKF in Sieraków

Part I of the competition:

  • Swimming 475 m (Lake Jaroszewskie), 1 loop
  • Expected water temperature: 16°C
  • Swimming time limit: 30 minutes

Part II of the competition:

  • Cycling 22.5 km (1 loop x 22.5 km, route: TKKF Center ul. Poznańska, Sieraków, Góra, Kurnatowice, Kwilcz, and Grobia), moderately hilly terrain.
  • Route measurement – GPS.
  • Mandatory helmet. The entire route is closed to road traffic.
  • No drafting allowed – riding within 10m of another participant is prohibited!
  • All types of bicycles are allowed.
  • Swimming and cycling time limit: 1.5 hours

Part III of the competition:

  • Running 5.275 km (1 loop).
  • Surface: forest paths and tartan.
  • Route measurement: GPS.
  • Competition time limit: 2 hours

The fee includes:

  • Event oversight by licensed judges from the Polish Triathlon Association (PZTri)
  1. For race participants (understood as individuals starting the race from the swimming stage), a finisher long-sleeve shirt with the event logo is provided. The gift is only available to the first 1000 participants who registered for the event and paid for their race package in accordance with the conditions specified in the regulations. Individuals who did not participate in the race are not entitled to receive this gift, and it cannot be collected by third parties. For those participants who did not register in the first price tier, the long-sleeve shirt will be available for purchase until the end of March in the event’s registration panel for a fee of 150 PLN.
  2. Refund of the race package fee in case of withdrawal
  • There is no possibility of refunding the paid fee if the participant has not purchased cancellation insurance or transferring to the following year.
  • It is possible to pay a cancellation fee of 30% of the race package fee. The cancellation fee can be paid only and exclusively at the time of race registration.
  • Please send withdrawal notifications to zapisy@tritour.com.pl no later than 30 days before the race date.
  • After notifying us, the full race package fee, minus the cancellation insurance, will be refunded to the account from which the payment was made within 60 days of the notification. However, we make every effort to process it earlier.
  • It is not possible to transfer the fee to the following year.
  • The uncollected race package during the race office’s working hours will be forfeited.
  • It is possible to transfer the fee to another participant after paying a handling fee of 20 PLN and paying the difference in race fees, up to the current fee tier (on the date of changing the data).
  • Uncollected race packages will not be sent during the event or at a later date and will be forfeited.

V. CLASSIFICATIONS

  • Age categories M/F: 14-17, 18-24; 25-29; 30-34; 35-39; 40-44; 45-49; 50-59; 60-69, 70+

VI. AWARDS

  • Age categories for women and men: 14-17; 18-24; 25-29; 30-34; 35-39; 40-44; 45-49; 50-59; 60-69; 70+ trophies for 1st-3rd places
  • Each race finalist will receive a commemorative medal at the finish line.
  • Awards can only be collected during the awards ceremony that concludes the race.

VII. PARTICIPATION CONDITIONS

  • The right to participate in the competition is granted to individuals who, on May 25, 2024, will be 18 years old or older, provide proof of identity during verification, pay the entry fee, and sign a statement of participation in the competition voluntarily. Individuals born in the years 2007-2010 who come to the race office with a parent or legal guardian, who will sign a statement of participation on their behalf and at their own responsibility, and pay the entry fee, also have the right to participate.
  • Participants who register for the event by completing the registration form on the event’s website confirm their knowledge of the regulations, accept them, and consent to the unlimited territorial and time publication of their image contained in photos or videos from the competition, as well as their name and surname on promotional and advertising materials of the organizer as part of the promotion of the JBL Triathlon Sieraków event.
  • Each participant is required to have a valid license from the Polish Triathlon Association – either one-time or annual.
  • Each participant is required to follow the event’s Facebook profile, where the most important information about the event will be posted.

Banned Substances and Doping:

  • The use of doping is prohibited.
  • Athletes confirmed to have used doping will be subject to responsibility in accordance with the anti-doping regulations established by the Polish Anti-Doping Agency.
  • Each participant in the race is obliged to undergo anti-doping control during and after the race in accordance with the provisions of the Act of April 21, 2017, on combating doping in sport.

VIII. REGISTRATIONS, STARTING LIST

  • After completing the registration form and paying the entry fee, the participant will be placed on the starting list.
  • The registration date is determined by the date of payment of the entry fee, which is understood as the date of receipt in the organizer’s account.
  • There is a limit on the number of participants – 500 people.
  • Registrations are accepted until April 30, 2024, unless the maximum number of participants on the starting list is reached earlier.

IX. RESULTS

  1. Official results will be posted on the official website of the organizer www.triathlonsierakow.pl.

X. PERSONAL DATA PROTECTION

  2. The processing of participants’ personal data is based on Article 23(1)(3) of the General Data Protection Regulation (GDPR) and Article 6(1)(b) of the GDPR – contract performance (acceptance of the Regulations and participation registration constitutes a contract) and Article 23(1)(1) of the GDPR and Article 6(1)(a) of the GDPR – voluntary, specific, informed, and unambiguous consent of the data subject.
  3. Personal data of event participants will be processed for the purpose of contract performance, including event organization, preparation, implementation, and promotion, as well as determining winners and award collection. Processing also includes communication with participants through email or SMS to the addresses or numbers provided during registration.
  4. Data processing includes the publication of the participant’s image, name, and surname, along with the name of the place of residence, age category, gender, and the result achieved during the event – in any way that such information is published or disseminated for event organization purposes (including via SMS to the participant’s number provided in the race card or during registration, as well as on starting lists and result lists at the event venue or on websites).
  5. Providing the personal data mentioned in paragraphs 3 and 4, as well as giving consent to their processing, is voluntary. However, due to the specific purpose of contract performance, failure to provide them or withholding consent for their processing or publicizing the participant’s image will prevent participation in the event.
  6. Personal data of event participants will be used in accordance with the conditions specified in the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons concerning the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), the Act of 10 May 2018 on personal data protection, other applicable legal provisions, and the event Regulations.
  7. Participants have the right to: a) access their data, b) rectify their data, c) erase their data, d) restrict data processing, e) withdraw their consent to data processing, including their image, at any time, f) lodge a complaint with the President of the Personal Data Protection Office regarding the processing of their data by the Data Controller.
  8. The exercise of rights resulting from point 7 may be carried out by submitting in writing information about violations and specifying their requests to the Data Controller’s correspondence address or by email to dane@tritour.com.pl.
  9. The Data Controller does not transfer data to third countries or international organizations.
  10. The Data Controller will not transfer data to third parties unless such transfer is necessary for the proper performance of the contract or based on the participant’s consent or applicable legal provisions.
  11. The Data Controller declares that it applies solutions to protect processed personal data against loss, destruction, and unauthorized modification.

XI. FINAL REMARKS

  1. The Organizer reserves the right to shorten, change the route, alter the start time, interrupt, or cancel the competition due to the occurrence of force majeure. Force majeure events include any sudden external events that cannot be prevented, especially adverse weather conditions, natural disasters, a state of emergency, epidemics, pandemics, war, acts of terrorism, strikes, a water level in a water reservoir preventing swimming, new legal acts, or administrative decisions preventing the Organizer from conducting the competition. In the event of the occurrence of events as mentioned in the preceding sentence, which are not the fault of the Organizer, participants will not be entitled to a refund of the entry fee or any costs incurred by the participant related to participation in the aforementioned competition.
    2. The Organizer has the right to reject the registration of any person without providing a reason.
    3. Participants who do not comply with this regulation may be disqualified.
    4. The use of all communication tools such as mobile phones, walkie-talkies, radios, etc., and music players is prohibited.
    5. All participants are required to maintain a minimum distance of 10 meters between cyclists.
    6. In the event of a bicycle breakdown during the race, participants must move to the side of the road along with their bicycles in a way that does not disrupt the race.
    7. Participation in the Pasta Party for participants is free of charge. Admission to the technical briefing and pasta party is possible upon presentation of the participant’s wristband received at the event office during verification.
    8. The Organizer has liability insurance for the event. Participants have the option to purchase personal accident insurance on their own.
    9. Medical care will be provided during the event. Decisions made by medical personnel regarding the continuation or withdrawal from the event are final, and participants are required to comply with them.
    10. The competition will be conducted in accordance with the regulations of the Polish Triathlon Association and this regulation.
    11. All disputes arising during the competition will be adjudicated by the judging committee.
    12. Participants have the right to submit a protest within 2 hours of disqualification or completion of the competition, accompanied by a deposit of PLN 100. Upon the protest being deemed valid by the chief judge of the competition, the deposit will be refunded.
    13. The Organizer is not responsible for the equipment and other belongings of participants left unattended at the competition venue or lost by them.
    14. In the event of theft or damage to equipment, each participant is obligated to report this to the Organizer’s representative and the police. Such reports must be made before the participant retrieves their equipment and leaves the transition area.
    15. Participants in the event are obliged to strictly follow the instructions and orders of the Organizer and any relevant security services during the event.
    16. Participants in the event are fully financially liable for any damages caused by them to the area where the event is taking place, other participants, as well as any property belonging to the Organizer or property under the Organizer’s control.
    17. The Organizer has the right to exclude a participant from participating in the competition if their behavior poses a threat to other participants or disrupts the proper course of the event
    18. The consumption or possession of any intoxicating substances, illegal substances, alcohol, or substances that may enhance a participant’s performance is strictly prohibited at the event, under the penalty of disqualification.
    19. The Organizer has the right to make changes to the Regulation, provided that participants are informed of these changes in writing or at the latest during the technical briefing before the start of the event.
    20. The intention to receive a VAT invoice must be reported promptly during the event registration process through the appropriate field in the registration form.
    21. The collection of starting packages is only possible during the opening hours of the event office. Packages that are not collected during the office’s opening hours will not be distributed or sent at a later date.
    22. The Organizer prohibits the transfer of the starting package to another person after it has been received by the rightful individual at the event office. The Organizer is not responsible for the consequences of transferring the starting package to another person after it has been received from the event office. In the event of the discovery of participation by another person on behalf of the registered individual, immediate disqualification will be imposed.
    23. The Lost and Found office will operate for 30 days after the end of the event. Found items will be sent at the participant’s expense.
    24. Each participant is responsible for covering the costs of their entry fee, transportation, accommodation, and personal meals.
    25. The interpretation of the regulation is the responsibility of the Organizer.
    26. Matters not covered by the provisions of this Regulation will be resolved by the Organizer.

  • Swimming 950 m (Lake Jaroszewskie), 1 loop.
  • Expected water temperature 16°C.
  • Swimming time limit – 60 minutes.

Part II of the competition:

  • Cycling 45 km (2 loops x 22.5 km, on the route: TKKF Center, ul. Poznańska, Sieraków, Góra, Kurnatowice, Kwilcz, and Grobia).
  • Moderately hilly route.
  • Route measurement – GPS.
  • HELMET REQUIRED. The entire route is closed to traffic.
  • Non-drafting race – riding within 10 meters behind another athlete is prohibited.
  • All types of bicycles are allowed.
  • Swimming and cycling time limit – 3.5 hours.

Part III of the competition:

  • Run 10.55 km (2 loops).
  • Surface: forest paths and tartan.
  • Route measurement – GPS.
  • Race time limit – 5 hours.

Competitors participating in the PRO category do not take part in the age-group competition.

Individuals wishing to compete in the PRO category are requested to choose the appropriate classification during registration for the event. (Verification of pro licenses will be conducted by the organizer).

What are the rules for granting PRO licenses?

PRO licenses are issued to athletes in the youth or senior category who are entitled to have an SSM/PRO license.

PRO licenses are also granted to athletes competing in the Age-Group category based on their sports performance results achieved during the current or previous season, according to the following criteria:

– In the middle-distance (1.9-90-21.1), men who achieve a time below 4 hours and 15 minutes, and women who achieve a time below 4 hours and 45 minutes.
– In the long-distance (3.8-180-42.2), men who achieve a time below 9 hours, and women who achieve a time below 10 hours.

PRO licenses can also be granted by PZTri (Polish Triathlon Union) upon the request of the interested individual, based on an assessment of the athlete’s sports level.

An athlete holding an SSM/PRO license, including Junior Junior, Junior, U23, Elite/Pro/Senior, is obligated to participate in sports competition in the PRO category or in their age-group category as per the SSM classifications. In case of a lack of competition organization in the PRO category or in specific SSM categories, the athlete may compete in the Age Group category.

PRO licenses are granted for the current calendar year (until December 31st of that year).

There is no possibility to resign from the PRO license during the calendar year.

An athlete who has an Age-Group license in a given season and decides to switch to the PRO category during the season is obligated to return the Age-Group license.

Financial awards are stated in Polish Złoty (PLN). Monetary awards are tax-exempt up to the amount of 700 PLN. Any amount above this will be subject to a 10% tax deduction.

Athletes who receive monetary awards in the PRO category will receive their prizes via a bank transfer by the end of October 2023 to their designated bank account. For this purpose, athletes are requested to present the received voucher to the race office for the completion of relevant documentation.

Prize collection can only occur during the award ceremony at the end of the event.

**The organizer reserves the right to reduce the prize amounts in the PRO category if the number of participants in the PRO category is insufficient. In such a case, participants will be informed via email about the changes no later than two days before the event.

VIII. PARTICIPATION CONDITIONS

  • Participants must be 18 years old or older on May 26, 2024, and provide identification during verification, pay the entry fee, and sign a declaration of participation in the race voluntarily.
  • Participants registering for the event via the online form on the event’s website confirm that they are familiar with the regulations and accept them, as well as give consent for the unlimited publication of their image in photos or videos from the race, as well as their name and surname on the organizer’s promotional materials for the promotion of the JBL Triathlon Sieraków event.
  • Each participant is required to have a valid license from the Polish Triathlon Association – either a one-time or annual license.
  • All participants are required to follow the event’s Facebook profile for important event-related updates.

REGISTRATION, STARTING LIST

  • After completing the registration, the payment for the athlete’s package can be made directly after registration or after logging in to the registration panel using the login and password provided during registration through the electronic payment system tpay.com.
  • Upon completing the registration form and paying the entry fee, the participant will be placed on the starting list.
  • The date of payment of the entry fee determines the registration date, which is understood as the date of receipt of payment on the organizer’s account.
  • There is a limit on the number of participants – 500 individuals.
  • Registrations will be accepted until April 30, 2024, unless the maximum number of participants on the starting list is reached earlier.

IX. RESULTS

    22. The Organizer prohibits the transfer of the starting package to another person after it has been received by the rightful individual at the event office. The Organizer is not responsible for the consequences of transferring the starting package to another person after it has been received from the event office. In the event of the discovery of participation by another person on behalf of the registered individual, immediate disqualification will be imposed.

III. DATE, DISTANCE, ROUTE

  • The competition will take place on May 25, 2024, with the race starting at 10:30 AM (rolling start).
  • The starting point is located on the beach by Lake Jaroszewskie – beach start.
  • The finish line is located on the track and field stadium of TKKF in Sieraków.

Part I of the Event:

  • Swimming 1900 meters (Lake Jaroszewskie), 1 loop,
  • Expected water temperature 16°C,
  • Swimming completion time limit – 75 minutes

Part II of the Event:

  • Cycling 90 km (4 loops x 22.5 km, route: TKKF Center, Poznańska Street, Sieraków, Góra, Kurnatowice, Kwilcz, and Grobia) moderately hilly terrain.
  • Route measurement – GPS.
  • HELMET REQUIRED. The entire route is closed to traffic.
  • Non-drafting race – riding within 10 meters of another participant is prohibited!
  • All types of bicycles are allowed.
  • Swimming and cycling completion time limit – 4.5 hours

Part III of the Event:

  • Running 21.097 km (4 loops).
  • Surface: forest paths and tartan.
  • Route measurement – GPS.

  1. For event participants (defined as individuals who start the event from the swimming stage), a finisher long sleeve with the event logo is provided. The souvenir is only available to the first 1000 participants who registered for the event and paid for their participant package according to the conditions specified in the regulations. Individuals who do not participate in the event do not have the right to receive this souvenir, and it cannot be collected by third parties. For participants who did not register at the first price level, the long sleeve will be available for purchase until the end of March in the event registration panel for a fee of 150 PLN.
  2. Participant Package Fee Refund.
  • There is no possibility of refunding the payment made if the participant has not purchased cancellation insurance or transferred the registration to the following year.
  • It is possible to pay a cancellation fee at the cost of 30% of the participant package fee. The cancellation fee can only be paid at the time of event registration.
  • Cancellation notifications should be sent to zapisy@tritour.com.pl no later than 30 days before the start date.
  • After reporting the cancellation, the full participant package fee, minus the cancellation insurance, will be refunded to the account from which the payment was made within 60 days of the notification. However, every effort will be made to process it earlier.
  • There is no possibility of transferring the fee to the following year.
  • The full participant package cannot be collected by another person who is not the registered participant on the start list.
  • Unclaimed participant packages during office hours on the day of the event are forfeited.
  • It is possible to transfer the fee to another participant after paying a handling fee of 20 PLN and the price difference in the registration fees, according to the current fee level (on the day of data change).
  • Unclaimed participant packages will not be sent either during or after the event; they are forfeited.

What Are the Rules for Awarding PRO Licenses?

  1. The PRO license is issued to athletes in the youth or senior category entitled to hold an SSM/PRO license.
  2. The PRO license is also granted to athletes competing in the Age-Group category based on sports results obtained during the current or previous season, according to the following criteria:
  3. The PRO license can also be granted by PZTri (Polish Triathlon Federation) upon the request of an interested individual based on an assessment of the athlete’s sporting level.
  4. An athlete holding an SSM/PRO license, including Junior Younger, Junior, U23, Elite/Pro/Senior, is obliged to participate in sports competition in the PRO category or in their age category according to SSM classifications. In the absence of competition in the PRO category or in specific SSM categories, the athlete may compete in the Age Group category.
  5. The PRO license is granted for the current calendar year (until December 31st of the given year).
  6. There is no possibility of resigning from the PRO license during the calendar year.
  7. An athlete who has an Age-Group license in a given season and decides to change to the PRO category during the season is required to pass the Age-Group license.

Financial rewards are provided in Polish Złoty (PLN). Cash prizes are tax-free up to the amount of 700 PLN, and any amount exceeding this will be subject to a 10% tax deduction.

Athletes awarded cash prizes in the PRO category will receive their prizes via a bank transfer by the end of October 2023 to the designated bank account. For this purpose, athletes are requested to visit the event office with the received voucher to complete the necessary documentation.

Prizes can only be collected during the awards ceremony concluding the event.

The organizer reserves the right to reduce the amount of prizes in the PRO category if the number of participants in the PRO category is insufficient. Participants will be informed by email of any changes at least two days before the start.

VII. PARTICIPATION CONDITIONS

  • Participants must be 18 years old or older on May 25, 2024, and provide identification during verification, pay the entry fee, and sign a declaration of participation in the race voluntarily.
  • Participants registering for the event via the online form on the event’s website confirm that they are familiar with the regulations and accept them, as well as give consent for the unlimited publication of their image in photos or videos from the race, as well as their name and surname on the organizer’s promotional materials for the promotion of the JBL Triathlon Sieraków event.
  • Each participant is required to have a valid license from the Polish Triathlon Association – either a one-time or annual license.
  • All participants are required to follow the event’s Facebook profile for important event-related updates.

Banned Substances and Doping:

  • The use of doping is prohibited.
  • Athletes confirmed to have used doping will be subject to responsibility in accordance with the anti-doping regulations established by the Polish Anti-Doping Agency.
  • Each participant in the race is obliged to undergo anti-doping control during and after the race in accordance with the provisions of the Act of April 21, 2017, on combating doping in sport.

VIII. REGISTRATION, STARTING LIST

  • After completing the registration, the payment for the athlete’s package can be made directly after registration or after logging in to the registration panel using the login and password provided during registration through the electronic payment system tpay.com.
  • Upon completing the registration form and paying the entry fee, the participant will be placed on the starting list.
  • The date of payment of the entry fee determines the registration date, which is understood as the date of receipt of payment on the organizer’s account.
  • There is a limit on the number of participants – 500 individuals.
  • Registrations will be accepted until April 30, 2024, unless the maximum number of participants on the starting list is reached earlier.

IX. RESULTS

X. PERSONAL DATA PROTECTION

The processing of participants’ personal data is based on Article 23(1)(3) of the General Data Protection Regulation (GDPR) and Article 6(1)(b) of the GDPR – contract performance (acceptance of the Regulations and participation registration constitutes a contract) and Article 23(1)(1) of the GDPR and Article 6(1)(a) of the GDPR – voluntary, specific, informed, and unambiguous consent of the data subject.
  3. Personal data of event participants will be processed for the purpose of contract performance, including event organization, preparation, implementation, and promotion, as well as determining winners and award collection. Processing also includes communication with participants through email or SMS to the addresses or numbers provided during registration.
  4. Data processing includes the publication of the participant’s image, name, and surname, along with the name of the place of residence, age category, gender, and the result achieved during the event – in any way that such information is published or disseminated for event organization purposes (including via SMS to the participant’s number provided in the race card or during registration, as well as on starting lists and result lists at the event venue or on websites).
  5. Providing the personal data mentioned in paragraphs 3 and 4, as well as giving consent to their processing, is voluntary. However, due to the specific purpose of contract performance, failure to provide them or withholding consent for their processing or publicizing the participant’s image will prevent participation in the event.
  6. Personal data of event participants will be used in accordance with the conditions specified in the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons concerning the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), the Act of 10 May 2018 on personal data protection, other applicable legal provisions, and the event Regulations.
  7. Participants have the right to: a) access their data, b) rectify their data, c) erase their data, d) restrict data processing, e) withdraw their consent to data processing, including their image, at any time, f) lodge a complaint with the President of the Personal Data Protection Office regarding the processing of their data by the Data Controller.
  8. The exercise of rights resulting from point 7 may be carried out by submitting in writing information about violations and specifying their requests to the Data Controller’s correspondence address or by email to dane@tritour.com.pl.
  9. The Data Controller does not transfer data to third countries or international organizations.
  10. The Data Controller will not transfer data to third parties unless such transfer is necessary for the proper performance of the contract or based on the participant’s consent or applicable legal provisions.
  11. The Data Controller declares that it applies solutions to protect processed personal data against loss, destruction, and unauthorized modification.

XI. FINAL REMARKS

  1. The Organizer reserves the right to shorten, change the route, alter the start time, interrupt, or cancel the competition due to the occurrence of force majeure. Force majeure events include any sudden external events that cannot be prevented, especially adverse weather conditions, natural disasters, a state of emergency, epidemics, pandemics, war, acts of terrorism, strikes, a water level in a water reservoir preventing swimming, new legal acts, or administrative decisions preventing the Organizer from conducting the competition. In the event of the occurrence of events as mentioned in the preceding sentence, which are not the fault of the Organizer, participants will not be entitled to a refund of the entry fee or any costs incurred by the participant related to participation in the aforementioned competition.
    2. The Organizer has the right to reject the registration of any person without providing a reason.
    3. Participants who do not comply with this regulation may be disqualified.
    4. The use of all communication tools such as mobile phones, walkie-talkies, radios, etc., and music players is prohibited.
    5. All participants are required to maintain a minimum distance of 10 meters between cyclists.
    6. In the event of a bicycle breakdown during the race, participants must move to the side of the road along with their bicycles in a way that does not disrupt the race.
    7. Participation in the Pasta Party for participants is free of charge. Admission to the technical briefing and pasta party is possible upon presentation of the participant’s wristband received at the event office during verification.
    8. The Organizer has liability insurance for the event. Participants have the option to purchase personal accident insurance on their own.
    9. Medical care will be provided during the event. Decisions made by medical personnel regarding the continuation or withdrawal from the event are final, and participants are required to comply with them.
    10. The competition will be conducted in accordance with the regulations of the Polish Triathlon Association and this regulation.
    11. All disputes arising during the competition will be adjudicated by the judging committee.
    12. Participants have the right to submit a protest within 2 hours of disqualification or completion of the competition, accompanied by a deposit of PLN 100. Upon the protest being deemed valid by the chief judge of the competition, the deposit will be refunded.
    13. The Organizer is not responsible for the equipment and other belongings of participants left unattended at the competition venue or lost by them.
    14. In the event of theft or damage to equipment, each participant is obligated to report this to the Organizer’s representative and the police. Such reports must be made before the participant retrieves their equipment and leaves the transition area.
    15. Participants in the event are obliged to strictly follow the instructions and orders of the Organizer and any relevant security services during the event.
    16. Participants in the event are fully financially liable for any damages caused by them to the area where the event is taking place, other participants, as well as any property belonging to the Organizer or property under the Organizer’s control.
    17. The Organizer has the right to exclude a participant from participating in the competition if their behavior poses a threat to other participants or disrupts the proper course of the event
    18. The consumption or possession of any intoxicating substances, illegal substances, alcohol, or substances that may enhance a participant’s performance is strictly prohibited at the event, under the penalty of disqualification.
    19. The Organizer has the right to make changes to the Regulation, provided that participants are informed of these changes in writing or at the latest during the technical briefing before the start of the event.
    20. The intention to receive a VAT invoice must be reported promptly during the event registration process through the appropriate field in the registration form.
    21. The collection of starting packages is only possible during the opening hours of the event office. Packages that are not collected during the office’s opening hours will not be distributed or sent at a later date.
    22. The Organizer prohibits the transfer of the starting package to another person after it has been received by the rightful individual at the event office. The Organizer is not responsible for the consequences of transferring the starting package to another person after it has been received from the event office. In the event of the discovery of participation by another person on behalf of the registered individual, immediate disqualification will be imposed.

  • Mandatory HELMET. The entire route is closed to traffic.
  • Non-drafting race – riding within less than 10 meters behind another participant is prohibited!
  • All types of bicycles are allowed.
  • Swimming and cycling time limit: 3.5 hours

Part III of the competition:

    • Running 10.55 kilometers (2 loops).
    • Surface: forest paths and tartan track.
    • GPS route measurement.

Individuals who did not participate in the competition are not entitled to receive this gift, and there is no possibility of its collection by third parties.   2. Refund of the entry fee in case of withdrawal
    • There is no possibility of refunding the paid fee if the participant did not purchase withdrawal insurance or transfer it to the next year.
    • It is possible to pay the withdrawal fee from participation in the event at a price of 30% of the entry fee. The withdrawal cost can be paid only and exclusively at the time of registration for the event.
    • Please send withdrawal notifications to zapisy@tritour.com.pl within 30 days before the start date.
    • After the withdrawal notification, a refund of the full entry fee paid, minus withdrawal insurance, will be made to the account from which the payment was made within 60 days of the notification. However, we make every effort to ensure that it is made earlier.
    • There is no possibility to transfer the fee to the next year.
    • There is no possibility of collecting the full starting package by a person other than the participant starting and listed on the start list.
    • Unclaimed starting packages during the office hours of the competition office expire.
    • It is possible to transfer the fee to another participant after paying a handling fee of PLN 20 and paying the difference in starting fees to the current fee level (on the date of data change).
    • Unclaimed starting packages are not sent during or after the event, they expire.

    13. The Organizer is not responsible for the equipment and other belongings of participants left unattended at the competition venue or lost by them.
    14. In the event of theft or damage to equipment, each participant is obligated to report this to the Organizer’s representative and the police. Such reports must be made before the participant retrieves their equipment and leaves the transition area.
    15. Participants in the event are obliged to strictly follow the instructions and orders of the Organizer and any relevant security services during the event.
    16. Participants in the event are fully financially liable for any damages caused by them to the area where the event is taking place, other participants, as well as any property belonging to the Organizer or property under the Organizer’s control.
    17. The Organizer has the right to exclude a participant from participating in the competition if their behavior poses a threat to other participants or disrupts the proper course of the event
    18. The consumption or possession of any intoxicating substances, illegal substances, alcohol, or substances that may enhance a participant’s performance is strictly prohibited at the event, under the penalty of disqualification.
    19. The Organizer has the right to make changes to the Regulation, provided that participants are informed of these changes in writing or at the latest during the technical briefing before the start of the event.
    20. The intention to receive a VAT invoice must be reported promptly during the event registration process through the appropriate field in the registration form.
    21. The collection of starting packages is only possible during the opening hours of the event office. Packages that are not collected during the office’s opening hours will not be distributed or sent at a later date.
    22. The Organizer prohibits the transfer of the starting package to another person after it has been received by the rightful individual at the event office. The Organizer is not responsible for the consequences of transferring the starting package to another person after it has been received from the event office. In the event of the discovery of participation by another person on behalf of the registered individual, immediate disqualification will be imposed.
    23. The Lost and Found office will operate for 30 days after the end of the event. Found items will be sent at the participant’s expense.
    24. Each participant is responsible for covering the costs of their entry fee, transportation, accommodation, and personal meals.
    25. The interpretation of the regulation is the responsibility of the Organizer.
    26. Matters not covered by the provisions of this Regulation will be resolved by the Organizer.

III. DATE, DISTANCE, ROUTE

  • The competition will take place on May 25, 2024, with the race starting at 10:30 AM, using a rolling start.
  • The starting point is located on the beach by Lake Jaroszewskie – beach start.
  • The finish line is located on the athletic stadium of TKKF in Sierakow.

Part I of the competition:

  • Swimming: 1900 meters (Lake Jaroszewskie), 1 loop.Expected water temperature: 16°C.
  • Time limit for completing the swim: 75 minutes

Part II of the competition:

  • Cycling: 90 kilometers (4 loops of 22.5 kilometers each). The route includes Ośrodek TKKF ul. Poznańska, Sieraków, Góra, Kurnatowice, Kwilcz, and Grobia. The route is moderately hilly.
  • GPS will be used for measuring the route.
  • HELMETS ARE MANDATORY. The entire route will be closed to traffic.
  • The competition follows a non-drafting format – riding less than 10 meters behind another cyclist is prohibited!
  • All types of bicycles are allowed.
  • Time limit for completing the swim and bike ride: 4.5 hours.

Part III of the competition:

  • Running: 21.097 kilometers (4 loops).
  • Surface: forest paths and tartan.
  • GPS will be used for measuring the route.
  • Time limit for completing the entire race: 7 hours.
  • Each stage is completed by a different person.
  • Starting the next stage involves passing the chip band to the next athlete in the transition area.

IV. FEES FOR THE ATHLETE PACKAGE

  1. For participants in the competition (understood as individuals who will start the competition from the swimming stage), a finisher’s long sleeve with the event logo is provided. The gift is only available to the first 1000 participants who registered for the event and paid for their starting package in accordance with the terms and conditions specified in the regulations. Individuals who did not participate in the competition are not entitled to receive this gift, and there is no possibility of its collection by third parties. For those participants who did not register in the first price range, the long sleeve will be available for purchase until the end of March in the event’s registration panel for PLN 150.
  2. Refund of the entry fee in case of withdrawal
    • There is no possibility of refunding the paid fee if the participant did not purchase withdrawal insurance or transfer it to the next year.
    • It is possible to pay the withdrawal fee from participation in the event at a price of 30% of the entry fee. The withdrawal cost can be paid only and exclusively at the time of registration for the event.
    • Please send withdrawal notifications to zapisy@tritour.com.pl within 30 days before the start date.
    • After the withdrawal notification, a refund of the full entry fee paid, minus withdrawal insurance, will be made to the account from which the payment was made within 60 days of the notification. However, we make every effort to ensure that it is made earlier.
    • There is no possibility to transfer the fee to the next year.
    • There is no possibility of collecting the full starting package by a person other than the participant starting and listed on the start list.
    • Unclaimed starting packages during the office hours of the competition office expire.
    • It is possible to transfer the fee to another participant after paying a handling fee of PLN 20 and paying the difference in starting fees to the current fee level (on the date of data change).
    • Unclaimed starting packages are not sent during or after the event, they expire.

VI. PRIZES 

    1. Teams that place 1-3 in the men’s, women’s, or mixed relay classification receive trophies for each team member
    2. Every event finalist receives a souvenir medal at the finish line
    3. The trophy can only be collected during the awards ceremony that concludes the event

VII. PARTICIPATION CONDITIONS

  • The right to participate in the competition is granted to individuals who will be 18 years old on May 25, 2024, and who will provide proof of identity during verification, pay the entry fee, and sign a statement of participation in the competition voluntarily.
  • Participants who register for the event by filling out the registration form on the event’s website confirm their knowledge of the regulations and accept them. They also consent to the unlimited territorial and time publication of their image in photos or videos from the event, as well as their name and surname on the organizer’s promotional materials as part of the promotion of the JBL Triathlon Sieraków event.
  • Each participant is required to have a valid license from the Polish Triathlon Association – either one-time or annual.
  • Each participant is required to follow the event’s Facebook profile, where the most important event information will be posted.

Prohibited Substances, Doping:

  1. The use of doping is prohibited.
  2. Participants found to be using doping will be subject to liability in accordance with the anti-doping regulations established by the Polish Anti-Doping Agency.
  3. Every participant in the competition is obligated to undergo doping control during and outside the event in accordance with the provisions of the Act of April 21, 2017, on the fight against doping in sport (Journal of Laws of May 31, 2017).

VIII. REGISTRATION, STARTING LIST

  • After completing the registration, the payment for the athlete’s package can be made directly after registration or after logging in to the registration panel using the login and password provided during registration through the electronic payment system tpay.com.
  • Upon completing the registration form and paying the entry fee, the participant will be placed on the starting list.
  • The date of payment of the entry fee determines the registration date, which is understood as the date of receipt of payment on the organizer’s account.
  • There is a limit on the number of participants – 500 individuals.
  • Registrations will be accepted until April 30, 2024, unless the maximum number of participants on the starting list is reached earlier.

IX. RESULTS

  1. Official results will be posted on the organizer’s official website at www.triathlonsierakow.pl.

X. PERSONAL DATA PROTECTION

  2. The processing of participants’ personal data is based on Article 23(1)(3) of the General Data Protection Regulation (GDPR) and Article 6(1)(b) of the GDPR – contract performance (acceptance of the Regulations and participation registration constitutes a contract) and Article 23(1)(1) of the GDPR and Article 6(1)(a) of the GDPR – voluntary, specific, informed, and unambiguous consent of the data subject.
  3. Personal data of event participants will be processed for the purpose of contract performance, including event organization, preparation, implementation, and promotion, as well as determining winners and award collection. Processing also includes communication with participants through email or SMS to the addresses or numbers provided during registration.
  4. Data processing includes the publication of the participant’s image, name, and surname, along with the name of the place of residence, age category, gender, and the result achieved during the event – in any way that such information is published or disseminated for event organization purposes (including via SMS to the participant’s number provided in the race card or during registration, as well as on starting lists and result lists at the event venue or on websites).
  5. Providing the personal data mentioned in paragraphs 3 and 4, as well as giving consent to their processing, is voluntary. However, due to the specific purpose of contract performance, failure to provide them or withholding consent for their processing or publicizing the participant’s image will prevent participation in the event.
  6. Personal data of event participants will be used in accordance with the conditions specified in the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons concerning the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), the Act of 10 May 2018 on personal data protection, other applicable legal provisions, and the event Regulations.
  7. Participants have the right to: a) access their data, b) rectify their data, c) erase their data, d) restrict data processing, e) withdraw their consent to data processing, including their image, at any time, f) lodge a complaint with the President of the Personal Data Protection Office regarding the processing of their data by the Data Controller.
  8. The exercise of rights resulting from point 7 may be carried out by submitting in writing information about violations and specifying their requests to the Data Controller’s correspondence address or by email to dane@tritour.com.pl.
  9. The Data Controller does not transfer data to third countries or international organizations.
  10. The Data Controller will not transfer data to third parties unless such transfer is necessary for the proper performance of the contract or based on the participant’s consent or applicable legal provisions.
  11. The Data Controller declares that it applies solutions to protect processed personal data against loss, destruction, and unauthorized modification.

XI. FINAL REMARKS

    1. The Organizer reserves the right to shorten, change the route, alter the start time, interrupt, or cancel the competition due to the occurrence of force majeure. Force majeure events include any sudden external events that cannot be prevented, especially adverse weather conditions, natural disasters, a state of emergency, epidemics, pandemics, war, acts of terrorism, strikes, a water level in a water reservoir preventing swimming, new legal acts, or administrative decisions preventing the Organizer from conducting the competition. In the event of the occurrence of events as mentioned in the preceding sentence, which are not the fault of the Organizer, participants will not be entitled to a refund of the entry fee or any costs incurred by the participant related to participation in the aforementioned competition.
      2. The Organizer has the right to reject the registration of any person without providing a reason.
      3. Participants who do not comply with this regulation may be disqualified.
      4. The use of all communication tools such as mobile phones, walkie-talkies, radios, etc., and music players is prohibited.
      5. All participants are required to maintain a minimum distance of 10 meters between cyclists.
      6. In the event of a bicycle breakdown during the race, participants must move to the side of the road along with their bicycles in a way that does not disrupt the race.
      7. Participation in the Pasta Party for participants is free of charge. Admission to the technical briefing and pasta party is possible upon presentation of the participant’s wristband received at the event office during verification.
      8. The Organizer has liability insurance for the event. Participants have the option to purchase personal accident insurance on their own.
      9. Medical care will be provided during the event. Decisions made by medical personnel regarding the continuation or withdrawal from the event are final, and participants are required to comply with them.
      10. The competition will be conducted in accordance with the regulations of the Polish Triathlon Association and this regulation.
      11. All disputes arising during the competition will be adjudicated by the judging committee.
      12. Participants have the right to submit a protest within 2 hours of disqualification or completion of the competition, accompanied by a deposit of PLN 100. Upon the protest being deemed valid by the chief judge of the competition, the deposit will be refunded.

III. DATE, DISTANCE, AND ROUTE

  1. Duathlon and Sieraków KIDS Run will take place on May 24, 2024, from 14:30 to 17:30.
  2. The start and finish will be located in Słoneczna Dolina in Sieraków.
  3. Program: The exact schedule of the event will be available 14 days before the competition.
  4. Distance and route:
    PHO3NIX KIDS RUN will be held on a 100m route.
    PHO3NIX KIDS DUATHLON will be held on the following distances:
Category A: 1200m cycling, 300m running
Category B: 2400m cycling, 600m running
Category C: 3800m cycling, 900m running
  5. The running race will take place on a designated route. GPS measurement will be used.
  6. The bike race will be conducted on a designated route. GPS measurement will be used.

VI. ENTRY FEES:

  • 69 PLN – until November 24, 2023
  • 75 PLN – from November 25, 2023, to December 31, 2023
  • 95 PLN – from January 1, 2024, to April 30, 2024
  • 120 PLN at the race office after April 30, 2024
  • applies if the limit of the number of participants is not reached
    – limit: 200 children – across all age categories

V. ENTRY FEE REFUND POLICY:

  • It is possible to receive a refund of 30% of the registration fee in case of withdrawal from the event. The refund can only be requested at the time of registration.
  • A 100% refund of the registration fee covers the return of the purchased package (registration fee) and does not include the return of additional fees paid by the participant (including withdrawal fee).
  • Withdrawal notifications should be sent to zapisy@tritour.com.pl within 30 days before the event date.
  • The full payment for the participant’s package (excluding additional fees) will be refunded to the account from which the payment was made within 60 days of receiving the notification.
  • In situations other than the one described above, there is no possibility of a refund of the participant’s package fee for withdrawal from the event for any reason and at any time.
  • There is no possibility of transferring the payment to another participant. The participant’s package should be collected by a parent or legal guardian of the registered participant upon presenting the child’s document and their own.

VI. CLASSIFICATIONS AND AWARDS:

  1. Separate age classifications for boys and girls (year of birth).
  2. Each year group will be awarded separately:
    * Duathlon C Awards 2011-2012-2013
    * Duathlon B Awards 2014-2015-2016
    * Duathlon A Awards 2016-2017-2018
    * Kids Run Awards 2019-2020-2021
  3. The top three boys and girls in each age group will receive trophies or statuettes.
  4. Each participant will receive a commemorative medal upon completing the event.
  5. Award collection can only take place during the closing awards ceremony.
  6.  Awards are not exchangeable.

VII. PARTICIPATION CONDITIONS:

  1. Any child born between 2011-2021 can participate in the event.
  2. Participation in the event requires a parent’s signed declaration of the child’s health status, allowing the child to participate in the race and take responsibility for the child’s participation.
  3. Registrations are accepted through the registration form on the event website.
  4. All participants in the event must be verified at the Race Office.
  5. During verification, participants should have their school ID or another document for the verification of personal data and age.
  6. By registering their child for the event, the parent/legal guardian declares that the child’s health allows them to participate in the race and does so at their own risk.
  7. In case of the need for any medical assistance during the event, decisions regarding the continuation of the race by medical personnel should be considered final and unchangeable.
  8. Participants who register for the event by completing the registration form on the event website confirm their knowledge of the regulations, accept them, and consent to the publication of their image, name, and surname in promotional and advertising materials of the organizer for the purpose of promoting the JBL Triathlon Sieraków event.
  9. The participant’s package includes:
– a race number to be attached to the belt for running and cycling
– a chip for timing
– drinks and a meal at the finish line

VIII. REGISTRATION AND START LIST:

The processing of personal data of athletes is based on art. 23 para. 1 point 3 of the GDPR and art. 6 para. 1 letter b) of the GDPR – execution of the contract (acceptance of the Regulations and registration for the competition constitutes the conclusion of a contract) and art. 23 para. 1 point 1 of the GDPR and art. 6 para. 1 letter a) of the GDPR – voluntary, unambiguous, informed and specific consent of the person whose data is concerned.
  3. Personal data of participants in the competition will be processed for the purpose of executing the contract, i.e., for the purposes of organizing, preparing, conducting, and promoting the competition, determining the winners, and awarding prizes. The processing also includes communication with the athlete by sending email or SMS messages to the athlete’s addresses or numbers provided during registration.
  4. Data processing also includes the publication of the athlete’s image, first and last name, along with the name of the place of residence, age category, gender, and the result obtained during the competition – in any way in which such information will be published or distributed for the purposes of organizing the competition (including in the form of SMS to the athlete’s number provided on the competition card or during registration, as well as on start lists and lists publishing the results of the competition at the competition venue or on websites).
  5. Providing personal data as mentioned in paragraph 3 and paragraph 4, as well as giving consent to their processing, is voluntary, but due to the specific nature of the contract’s execution, not providing them or refusing to process or publicize the athlete’s image will prevent participation in the competition.
  6. Personal data of competition participants will be used in accordance with the terms specified in Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (OJ L 119, 4.5.2016, p. 1–88, GDPR), the Act of 10 May 2018 on the protection of personal data, other applicable laws, and in accordance with the Competition Regulations.
  7. Athletes have the right to: a) access data, b) rectify data, c) delete data, d) restrict data processing, e) withdraw consent to data processing, including the image, at any time, f) lodge a complaint with the President of the Office for Personal Data Protection about the processing of their data by the Administrator.
  8. The exercise of the rights resulting from point 7 may be done by indicating violations in writing and specifying their requests sent to the Administrator’s correspondence address or email address: dane@tritour.com.pl.
  9. The administrator of personal data does not transfer data to third countries or international organizations.
  10. The Administrator will not disclose data to third parties unless such disclosure is necessary for the proper performance of the contract or the disclosure of data is based on the athlete’s consent or on the basis of applicable law.
  11. The Administrator declares that he uses solutions to protect personal data processed against their loss, destruction, and unauthorized modification.

X. RESULTS

  1. Official results will be posted on the official website of the organizer www.triathlonsierakow.pl

XI. FINAL REMARKS

  1. The Organizer reserves the right to shorten, change the route, change the start time, interrupt or cancel the competition due to force majeure. Force majeure shall mean any sudden external event that cannot be prevented, in particular: adverse weather conditions, natural disasters, a state of emergency, an epidemic, a pandemic, war, acts of terrorism, strikes, new legal acts, or decisions of administrative authorities preventing the Organizer from conducting the competition. In the event of the occurrence of events referred to in point 2, which are not the fault of the Organizer, Participants will not be entitled to a refund of the entry fee.
  2. A bicycle helmet is mandatory. All participants are required to wear a bicycle helmet throughout the entire cycling route.
  3. In the event of a bicycle breakdown during the race, participants should move to the roadside with their bicycles in a manner that does not disrupt the progress of the race and the start of other participants.
  4. Participants who have completed the competition will have the opportunity to use showers in the sanitary building near the finish line.
  5. The competition will be held in accordance with the regulations of the Polish Triathlon Union and these regulations.
  6. The Organizer has liability insurance. Participants are responsible for their own accident and health insurance.
  7. Medical care will be provided during the competition.
  8. Prizes and diplomas can be collected only during the awards ceremony at the end of the competition.
  9. Matters not covered by the regulations will be resolved by the Organizer.
  10. The final interpretation of the regulations belongs to the Organizer.
  11. All disputes arising during the competition will be resolved by the judging committee.
  12. By registering a child for the competition, the parent/guardian declares that the child’s bicycle is in good condition and is not a technical threat to the child or other children.
  13. The Organizer is not responsible for the equipment and other belongings of participants left unattended at the competition venue.
  14. Participants are required to strictly follow the instructions and orders of the Organizer and any services responsible for protection and safety during the event.
  15. The participant (parent or legal guardian) is fully financially responsible for any damage caused by them on the event site, both in relation to other participants and to the property of the Organizer or property under the control of the Organizer.
  16. The Organizer has the right to exclude a participant from the competition if their behavior poses a danger to other participants or disrupts the proper course of the competition.
